Why we use your information

We use your email address to send you the SPACE Helsinki newsletter you have requested.

The newsletter may contain news about artistic activities, projects, events, performances, exhibitions, opportunities to participate, membership, donations and fundraising.

Our legal basis for sending the newsletter is your consent, under Article 6(1)(a) of the EU General Data Protection Regulation.

We ask you to confirm your subscription using a link sent to your email address.

Subscription is voluntary. You can withdraw your consent at any time using the unsubscribe link in any newsletter.

Information we process

The subscription form requests your email address and your consent to receive the newsletter.

The newsletter service may also process subscription and confirmation status, together with technical information associated with sending, delivering and unsubscribing from messages.

Newsletter statistics

We use aggregated statistics, such as newsletter openings and link clicks, to understand and improve the newsletter. We do not intend to use individual subscribers' reading histories.

For messages sent from 5 November 2026, Mailjet's open and click tracking is set to anonymous. According to Mailjet, this setting reduces the amount of recipient-level information collected, while overall opens and clicks are still measured. Opens are measured with a small image in the message that is loaded from Mailjet's servers, and clicks with links that redirect through Mailjet.

No Google Analytics tracking tags are added to newsletter links, and Mailjet's landing-page tracking is not used.

We are still assessing whether this kind of statistics requires separate consent.

Service providers and data transfers

We use Mailjet (Sinch) to manage newsletter subscriptions and send messages. Mailjet processes the information as our processor under Sinch's Data Processing Agreement.

According to Mailjet, personal data is hosted in data centres in the EU, in Frankfurt, Germany, and Saint-Ghislain, Belgium.

Sinch uses subprocessors, some of which operate outside the EU/EEA, for example in the United States, for certain tasks such as customer support. Sinch may also transfer data within its group of companies. Not every subprocessor listed by Sinch necessarily processes newsletter subscribers' data.

Where data is transferred outside the EU/EEA, the safeguards in Sinch's Data Processing Agreement include the European Commission's Standard Contractual Clauses and, for Sinch's email services, the EU–US Data Privacy Framework.

More information: Sinch Data Processing Agreement and list of subprocessors.

We do not share the subscriber list with partner organisations for their own marketing.

Website hosting and external resources

The subscription pages and this privacy notice are hosted on Codeberg Pages. The embedded subscription forms are loaded separately from Mailjet's servers. Loading the pages and forms requires technical connections to these services' servers, which process connection information such as the visitor's IP address.

In addition, the subscription form generated by Mailjet currently requests a stylesheet from Google Fonts (fonts.googleapis.com) every time it loads, even though the form does not use that font. This transmits technical connection information, including the visitor's IP address, to Google.

We have asked Mailjet to remove this unnecessary connection. The issue has not yet been resolved.

How long we keep information

We keep your email address on the active mailing list while you remain subscribed.

If you unsubscribe, we stop sending newsletters and remove your address from the active mailing list. Unsubscribing does not, however, automatically delete all contact records or technical information from the Mailjet service.

Necessary unsubscribe and consent records may be retained to respect your choice and demonstrate compliance with applicable requirements.

According to Mailjet's documentation, on paid plans campaigns and statistics are kept for 13 months, and contacts are kept for the lifetime of the account unless they are removed. These are the service provider's retention periods and are separate from our own practice described above.
